This Privacy Policy explains how MiamiCityRealty.Com LLC (doing business as MiamiCityRealty.com — “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit MiamiCityRealty.com (the “Site”), submit a form, create an account, contact us, or otherwise interact with our services. By using the Site, you agree to the practices described here.
MiamiCityRealty.com is a licensed Florida real estate brokerage. Our on-site AI concierge is named Mia.AI. Mia.AI is an automated assistant only — she is not a REALTOR®, real estate agent, licensee, or legal, financial, or tax advisor, and she does not provide professional advice.
Information We Collect
Information you give us directly
We collect the information you choose to provide when you use our forms and features. Depending on what you do, this may include:
- Contact and identity details — your first and last name, email address, and phone number.
- Buyer inquiries — budget range, neighborhoods or areas of interest, property type, purchase timeline, financing method (including whether you intend to pay cash or with cryptocurrency), best time to reach you, and any message you write.
- Seller / home-valuation inquiries — the property address and ZIP code, property type, interior size, your price expectation, selling timeline, and any details you share about the home. (Our instant valuation tool returns a range built from public MLS comparables; it is not an appraisal or a comparative market analysis.)
- Landlord / rental inquiries — the property address and ZIP code, property type, target rent, availability, furnished status, whether you want tenant placement or ongoing management, and any message.
- Property inquiries, showing requests, video-call requests, and open-house RSVPs — the listing you asked about, your preferred date/time, and any message.
- Agent / career applications — your current brokerage, years in Miami real estate, area of specialization, real estate license number, and why you are interested in joining us.
- Real estate professional (directory) claims — information used to verify that you control the listing you are claiming, including a one-time verification code sent to the phone number and/or email address already on file for that listing.
- Newsletter sign-ups — your email address.
- Account registration — your username, email address, password (stored only in encrypted/hashed form), name, and phone number, plus your account role (for example, buyer, renter, seller, landlord, or agent).
Information we collect automatically
- Technical and submission data — when you submit a form, we record your IP address, browser type/user-agent, and the date and time of the submission, together with your entry.
- Usage and analytics data — we use Matomo, a first-party, self-hosted web-analytics tool that runs on our own servers, to understand how the Site is used (for example, pages viewed, referring links, general location, device and browser type, and on-page interactions). Because Matomo is self-hosted, this analytics data stays on our infrastructure and is not shared with an outside advertising network.

MLS / IDX listing data
Many property listings shown on the Site are provided through the Multiple Listing Service (MLS) via an Internet Data Exchange (IDX) feed. That listing content originates with the MLS and its participating brokers, is deemed reliable but not guaranteed, and is subject to the MLS’s own rules. When you inquire about a specific listing, your inquiry may be handled by our team or our Mia.AI concierge and, where applicable, shared with the listing agent or broker.
How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and connect you with the right specialist on our team;
- Schedule and confirm property showings, tours, video calls, and open-house visits;
- Provide home-value ranges and, on request, a specialist comparative market analysis;
- Market rental properties and screen prospective tenants on behalf of owners;
- Review agent and career applications and verify professional licensing (for example, through Florida’s DBPR public license records);
- Verify ownership of directory listings that professionals claim;
- Send you the information, follow-ups, appointment reminders, and marketing communications (such as our monthly Miami market newsletter) that you request or that relate to your inquiry;
- Create and manage your account and its role-based features;
- Operate, secure, maintain, and improve the Site, including preventing spam, fraud, and abuse;
- Comply with legal, regulatory, and real estate recordkeeping obligations.
How We Share Your Information
We do not sell your personal information. We share it only as described here:
- Our team. Your information is shared internally with our broker, agents, and staff so we can respond to you and provide our services.
- Customer-relationship management (CRM). We use GoHighLevel (the LeadConnector platform) to manage leads and communications. When you submit a form or inquiry, the details you provide — such as your name, email, phone number, property interests, message, and related tags — are sent to our GoHighLevel account so our team can follow up and manage your inquiry.
- Email and SMS follow-up. We use GoHighLevel and standard email delivery to send you follow-ups, appointment confirmations and reminders, verification codes, and the communications you request. See the “SMS / Text Message Program” section below.
- Analytics. Our web analytics run on self-hosted Matomo on our own servers; analytics data is not sold or handed to a third-party advertising network.
- MLS listing partners. As described above, inquiries about specific MLS/IDX listings may be shared with the applicable listing agent or broker.
- Service providers. We rely on trusted vendors — such as our web hosting, content-delivery, email-delivery, and CRM providers — who process information on our behalf and are expected to protect it and use it only to provide their services to us.
- Legal and safety. We may disclose information when we believe in good faith it is required by law, subpoena, or legal process, or is necessary to protect the rights, property, or safety of MiamiCityRealty.Com LLC, our clients, or others.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
Cookies & Tracking
The Site uses cookies and similar technologies, including:
- Essential cookies set by WordPress to operate the Site and keep you signed in when you use an account.
- First-party analytics cookies set by our self-hosted Matomo installation to measure Site usage. These are not shared with outside advertisers.
- Browser local storage, which we use to remember preferences such as whether you dismissed the newsletter prompt and listings you have saved or favorited.
- Third-party embedded content. Certain pages may include content served by others — for example, embedded virtual property tours, maps, or scheduling widgets. Those providers may set their own cookies and are governed by their own privacy policies.
We do not currently use Google Analytics, Google Tag Manager, the Meta/Facebook pixel, or third-party cross-site advertising trackers. You can control cookies through your browser settings, and most browsers let you refuse or delete cookies; some Site features may not function properly if you do. We honor your browser’s privacy signals where required by applicable law.
Data Retention
We keep personal information only as long as needed for the purposes described in this Policy, unless a longer period is required or permitted by law (for example, Florida real estate recordkeeping requirements). Lead and inquiry records are retained in our CRM for as long as reasonably necessary to serve you and operate our business. Newsletter subscriptions are kept until you unsubscribe. Account information is kept while your account is active. When information is no longer needed, we take reasonable steps to delete or de-identify it.
Your Rights & Choices
Subject to applicable law, you may:
- Access the personal information we hold about you and request a copy;
- Correct information that is inaccurate or out of date;
- Delete your personal information, subject to legal and recordkeeping exceptions;
- Opt out of marketing at any time — use the unsubscribe link in any marketing email, reply STOP to any text message, or contact us using the details below.
To exercise any of these rights, email us at broker@miamicityrealty.com. We will respond as required by applicable law and may need to verify your identity before acting on your request. We will not discriminate against you for exercising your privacy rights.
Florida residents — Florida Digital Bill of Rights
If you are a Florida resident, you may have rights under the Florida Digital Bill of Rights, including the rights to confirm whether we process your personal data, to access and obtain a copy of it, to correct inaccuracies, to delete it, and to opt out of the sale of personal data and of targeted advertising. “Do Not Sell or Share My Personal Information”
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. Because we do not engage in these activities, no opt-out is necessary; if this ever changes, we will update this Policy and provide the required choices.
Residents of other states
Residents of California, Virginia, Colorado, and certain other states may have similar rights under their state privacy laws — such as the rights to access, correct, delete, and obtain a portable copy of their personal information, and to opt out of sale or targeted advertising. SMS / Text Message Program
When you provide your mobile number — for example, by requesting a call, tour, or video consultation, submitting a lead or contact form, applying to join us, or claiming a directory listing — you agree that we (directly and through our CRM, GoHighLevel) may contact you by text message about your inquiry. This includes follow-ups, appointment confirmations and reminders, and one-time verification codes.
- Consent is not a condition of purchase or of any real estate service.
- Message frequency varies based on your interactions with us.
- Message and data rates may apply depending on your mobile carrier and plan.
- Reply STOP to opt out of further text messages at any time, and reply HELP for help.
- Carriers are not liable for delayed or undelivered messages.
Opting out of texts does not remove you from email communications; to stop marketing emails, use the unsubscribe link or contact us.
Children’s Privacy
The Site is intended for adults and is not directed to children under 18, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.
Security
We take reasonable administrative, technical, and physical measures to protect your information — including transmission over encrypted (HTTPS/TLS) connections, access controls, and automated spam-prevention on our forms. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Third-Party Links & Services
The Site may link to or embed third-party websites and services — including MLS/IDX listing sources, mapping tools, virtual-tour providers, and scheduling widgets. We are not responsible for the privacy practices or content of those third parties. We encourage you to review their privacy policies before providing them your information.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and material changes will take effect when posted on this page. Your continued use of the Site after an update constitutes acceptance of the revised Policy.
